These General Terms and Conditions apply to every attendee registered for the Congress announced on this website.

Before contracting the services offered by the Medical Society and BOCEMTIUM CONSULTING SL (hereinafter, “the Provider”) on this website, you must read and accept the following Terms and Conditions drafted in accordance with Law 34/2002 on Information Society Services and Electronic Commerce, taking into account Law 7/1996 of January 15 on the regulation of retail trade, Law 7/1998 of April 13 on general contract terms, Royal Legislative Decree 1/2007 of November 16 approving the consolidated text of the General Law for the Protection of Consumers and Users, and Law 3/2014 of March 27.

Acceptance of these TERMS AND CONDITIONS constitutes a binding contractual relationship between you and the Provider. Registering for the Congress, completing registration, and making payment implies full acceptance of these Terms and Conditions and acknowledges that you are fully informed of all provisions contained herein.

If you do not accept all TERMS AND CONDITIONS, you will not be able to continue the registration process or use the services offered by the Provider through this website.

Furthermore, all registered users guarantee the accuracy and truthfulness of the personal data provided and commit to inform the Provider of any changes or modifications.

The Provider reserves the right, without obligation, to request any official information to verify the accuracy of the personal data provided.

If a registered user provides false, inaccurate, or incomplete information, and there are reasonable grounds to doubt its truthfulness, access to current and future use of the platform may be denied, and any existing contract may be canceled without prejudice to initiating the corresponding legal procedure.

 

CONGRESS REGISTRATION

Registration deadlines for the Congress are announced on the website.

Registrations will be accepted until the available capacity is filled. If the maximum number of attendees is reached, the Medical Society may reject new requests. The inability to register due to full capacity does not entitle any claims or compensation.

Congress registration generally includes access to sessions, seminars, contests, and practical cases, coffee breaks, and a certificate of attendance.

In any case, the registration/registration section details what is included in the registration fees for each case.

Registration fees: The current prices displayed on the website at the time of registration will apply. The price is specified alongside each registration. VAT is included.

Confirmation: Each time the organization receives a registration, a confirmation email will be sent within 24 hours, except when received on holidays or weekends, in which case confirmation will be sent the next business day.

Registrations can be made individually or by a third party. In the latter case, the person registering a third party or group declares that they have the express consent of the person(s) being registered to provide their personal data for the purpose of managing their registration and participation in the event. They also agree to hold the organizers harmless from any damage, loss, or claim arising from processing personal data provided without proper consent.

 

CANCELLATION POLICY

Cancellation policy for registrations and other related products/services:

All cancellations and name changes must be communicated in writing to the Technical Secretariat.

All cancellations will be processed until the day before the Congress.

Amounts will be refunded, after applying any cancellation fees, once the Congress has concluded and provided that payment for the service and/or product was made in advance.

For accommodation cancellations, please consult the technical secretariat directly, as this service is subcontracted.

 

VISA REQUIREMENTS

It is the sole responsibility of the attendee to handle the requirements for their visa.

 

CONGRESS PROGRAM CHANGES

The organizing Medical Society reserves the right to modify the program without prior notice, including changes to speakers, schedules, or activities, for organizational reasons or force majeure. Such changes do not entitle attendees to refunds or financial compensation.

 

CONGRESS CANCELLATION

In the event that the Congress in in-person format cannot take place due to reasons beyond the control of the organizing Medical Society and/or Bocemtium (force majeure) or due to reasons not attributable to fraud or gross negligence by the organizing Medical Society and/or Bocemtium.

Attendees are advised to purchase travel and accommodation insurance with a flexible cancellation policy, as the Medical Society and Bocemtium will not cover costs arising from Congress cancellation or rescheduling, such as transportation or accommodation expenses.

 

ACCESS

Admission to the Congress is limited exclusively to registered attendees. Access will not be allowed for companions or minors, except in exceptional cases where an attendee with a disability requires a companion, which must be notified to the organization in advance.

Seats in session rooms are limited. Registration does not guarantee a seat in all sessions, and access will be granted on a first-come, first-served basis, subject to availability. No refunds will be issued if seats are unavailable in certain sessions. Attendees are advised to arrive early.

During registration, each participant must accept the General Terms and Conditions described here, in accordance with the General Data Protection Regulation (GDPR) 2016/679 and Organic Law 3/2018.

 

YOUR PERSONAL DATA RIGHTS

Under data protection regulations, you may exercise your rights at any time to access, rectify, delete, restrict processing, data portability, and object to the processing of your data, as well as the right not to be subject to automated decisions, by sending a request to: gdpr[at]bocemtium.com.

 

IMAGE RECORDINGS AND USE IN DIGITAL MEDIA

Please note that during the event, photographs and video recordings will be taken to document, promote, and disseminate the activities of the Medical Society on social networks, websites, and other internal and external media, in strict compliance with current data protection and image rights regulations.

The legal basis for processing your image and/or voice will be the legitimate interest of the Medical Society in promoting its activities, according to Article 6.1(f) of Regulation (EU) 2016/679 (GDPR) and Organic Law 1/1982, of May 5, on civil protection of the right to honor, personal and family privacy, and image rights.

If you DO NOT wish for your image and/or voice to be captured and used by the Medical Society, please avoid being in photo zones or areas designated for audiovisual recording.

However, if your image and/or voice appear incidentally or in general shots, we may not be able to guarantee their complete exclusion from audiovisual material, in accordance with Organic Law 1/1982.

You may exercise your rights of access, rectification, deletion, objection, restriction of processing, and portability of your personal data at any time, as established by the GDPR and Organic Law 3/2018, by sending a request to gdpr@bocemtium.com or to the postal address of the Medical Society.

 

ABSTRACTS – SCIENTIFIC COMMUNICATIONS

Registered Congress attendees have the option to submit an abstract or paper to the Congress. Requirements and guidelines for submission are available on the event website.

By submitting an abstract or paper (whether a presentation, oral communication, poster, technical video, etc.), the main author confirms, by accepting these Terms and Conditions, that:

The organizing Medical Society and Bocemtium act only as organizers and will not process, publish, or distribute papers that infringe third-party rights. The main author assumes full responsibility for any claims arising from unauthorized use of personal or institutional data in the submitted abstract or paper.

 

TRANSFER OF DATA TO SPONSOR/EXHIBITOR

By registering for a workshop, symposium, coffee break, round table, or similar activity organized by a sponsor or participating company at the Congress, the attendee agrees to the transfer of their personal data to that sponsor/exhibitor as part of contract execution (Art. 6.1(b) GDPR).

The sponsor/exhibitor may only use your data to send information related to the product or technical service presented in the session, and may not use it for other purposes or transfer it to third parties.

Additionally, your personal data (name, email, and medical specialty) will be shared with the main sponsor of the event solely for the purpose of contacting you with information about products, services, or activities related to the Congress.

Retention period: Data will be retained by the sponsor/exhibitor only for the time necessary for the indicated purpose, and in any case, no longer than 6 months after the event, unless you establish a commercial relationship with the sponsor/exhibitor.

You may exercise your rights of access, rectification, deletion, objection, restriction of processing, and portability under GDPR and Organic Law 3/2018 at any time.
